Reviewing "My Timecard" for Supervisors/Administrators

The 'My Timecard' page lets you review and edit your timecard in ExakTime Connect. This page functions similarly to the 'Timecards', but focuses on your timecard with no ability to switch to other employees.

  1. Go to Time Management in the top menu bar, then click My Timecard.

  1. Select the employee to view.

  2. Select the pay period to review from the default options or a date range that matches a pay period.

  3. Click Approval History from the Actions bar.

  4. The 'Approval History' menu will show the level of approval, the approver/unapprover, when it was performed, and if it was performed on ExakTime Connect or ExakTime Mobile.

Employee Hour and Approval Summary

  • Hovering over the contactCardWhite.png contact card icon will show your phone number(s) and email.

  • Your hours will be presented at the top of your timecard broken down by regular, OT1 (Overtime), OT2 (double time), and Unpaid time with a total of your worked hours.

  • If your company has time card approvals enabled, you can see if your timecard has been approved and at what level (Employee, Supervisor, and/or Sign Off).

My Timecard Actions

The "My Timecard" actions available will depend on what permissions have been enabled by your ExakTime Administrator. The basic actions available are:

The following actions are dependent if your company has enabled timecard approvals:

  • Approve/Unapprove Time - Approve your timecard for the pay period. This button will not be available if viewing a custom date range. 
    • The 'Approve Time' button will only appear if you are viewing a pay period. You cannot see the button or approve time if your date range is for a pay week, a single day, etc.
    • Your timecard should only be approved at the end of your company's pay period. It is recommended to consult your ExakTime administrator for your company's policies/expectations.
  • Approval History - View who has approved your timecard and when.

Pay Period/Date Range

  • Use the drop-down menu to jump between pre-determined date ranges and pay periods.

  • Click the left and right arrow buttons to go to the previous/next pay period, pay week, or day. If you are viewing a custom date range, the left and right arrows will be grayed out and unresponsive.
  • Click the Calendar_-_01.png calendar icon to select the date range to view. The maximum date range allowed is 31 days.

Column Manager

The column manager allows you to add/remove columns to your timecard. The available columns will depend on other permissions and options enabled by your ExakTime Administrator.

Timecard

Your timecard will show your time records and columns for:

  • Time Record Actions
  • Location - Where you worked.
  • Cost Code - What you did at the location.
  • Start/Stop Time - The start/stop time of the time record. The stop time will be grayed out if it is using the start time of the time record that immediately follows.
  • REG/OT1/OT2 - If the time record hours are regular, overtime, or premium/doubletime.
  • Shift/Pay Code - Indicates what shift and/or pay code a time record would belong to. Dependent on Shifts being enabled for the ExakTime account.
  • Unpaid - Indicates how much time is spent for a manual meal break or for any approved unpaid time off requests. Dependent on Manual Meal Breaks and Time Off being enabled by your company. Will not show hours for auto lunch deductions or gaps of time between time records.
  • Hours - The overall hours for the time record.

Action Bar

The 'Actions' bar allows you to perform actions focused on the given day. If there are no time punches or records for a day, the action bar will not appear until a record is created.

  •  - Click this chevron icon to collapse or expand the time records for the given day.
  • Add Time - Add time for the day.
  • Add Meal Break - Add a meal break for the day if manual meal breaks have been enabled for your policy group.
  • Field Notes - If you created any field notes and have a start time for the given day, you can click the button to view up to 50 of the field notes.
    • The field notes presented are based on the employee who created them, not field notes where the employee is the subject.

  • Approve/Unapprove Time - Approve/unapprove the time for the day if daily time approvals have been enabled.
    • The Approve/Unapprove Time buttons will not be available if you are not viewing a pay period. 
  • Approvals - Indicates the current approvals for the day if daily time approvals have been enabled.
  • Missing Meal Break - A warning if you expected to have a meal break for the day, but have not recorded one.

Time Record Icons

  • Time_Card_-_Pencil_Icon_-_00.png - Edit a time record.
  • Time_Card_-_Trash_Icon_-_00.png - Delete the time record.
  • Overview__Time_Card_Detail__June_Update___360003910674__Globe.png or Time_Card_Globe_-_01.png - Clicking the globe icon will take you to the map view to see where you were when you had clocked in. If the globe is grayed out, the time record does not have any usable GPS data for Map View.
  • ETC_-_Time_Card_Details_-_Meal_Break_Icon_-_00.png - This icon indicates if a time record is for a meal break. Dependent on Manual Meal Breaks being enabled by your company.
  • ETC - This icon indicates if a time record is generated from an approved time off request. Depending on the 'Time Off' feature being enabled by your company.
  • Policies_Icon_-_00.png - This icon will appear for any record that was created by a policy, most common for an auto-lunch.
  • Overview__Time_Card_Detail__115002665908__Exported.png- This icon appears for any record that has been exported via AccountLinx.
  • Overview__Time_Card_Detail__115002665908__Incomplete.png - This icon appears for any time record field that is missing data. This will be common for time records where you forgot to clock in/out. As incomplete time records can affect your total hours, these fields will need to be edited/updated.
  • Start/Stop Time - The start and stop time that you worked for a given location/cost code of the time record.
    • The "Stop Time" will be grayed out if it is using the start time of the immediately following time record.
    • Clock_Out_Icon_-_00.png - This "Clock Out" icon will be displayed towards the left of a "Stop Time" if it is a clock out.
      • Next to each start/stop time will be a small i icon. The color of the icon will indicate the relation of the GPS provided to the selected location. 
      • Overview__Time_Card_Detail__June_Update___360003910674__No-GPS.png - A blue icon indicates that there is no GPS associated with the time record. This can be due to:
        • Lack of location services at the time of creating the punch.
        • The time record was created manually from within ExakTime Connect.
        • The time record was created automatically by the system such as a midnight split.
      • Overview__Time_Card_Detail__June_Update___360003910674__Location-No-GPS.png - A grey icon indicates that there is GPS for the time record from the employee's device, but the selected location does not yet have a GEOFence
      • Overview__Time_Card_Detail__June_Update___360003910674__Outside-GeoFence.png - A red icon indicates that the GPS for the time record is outside the GeoFence of the selected location.
      • Overview__Time_Card_Detail__June_Update___360003910674__Inside-GeoFence.png - A green icon indicates that the GPS for the time record is within the GeoFence of the selected location.
      • Hovering over the icon will show additional GPS information, FaceFront photo, and more.
