Employee Self-Service Portal Roll Out Steps

The "Employee Portal" allows your employees and managers to review and complete HR related items, such as, but not limited to:

  • Starting Change Events
  • Complete Open Enrollment
  • Requesting Time Off

To help you get started, we have listed some things you can do to help you get your employees in their Employee Portal.

Review and Finalize Your Employee Portal

Quickly review your employee portal to see their perspective and make any necessary adjustments.

Any actions done while viewing an employee's homepage will be as if the employee had performed the action. This can be critical if the employee is required to provide information or acknowledgment.

  1. Expand Setup and click Setup Properties from the menu.

  2. Hover over 'Employee Portal Setup' and click Employee Portal

  3. Click Preview from any relevant tab to view a preview of the employee homepage of the first employee listed in your organization.

  4. After previewing the employee portal, adjust the relevant options for the employee portal. If you are unfamiliar with configuring your employee portal, refer to our resources here.

Reviewing From a Specific User’s Perspective

It may also help to review the employee portal from a specific user's perspective, such as a time or performance manager, to make sure they are seeing the correct menu options.

  1. Search for the employee whose homepage you want to view the employee homepage.

Decide on a Go Live Date

We recommend sending verification emails to your employees on a Monday, Tuesday, or Wednesday, as the verification link expires after 72 hours.

Create a Call-To-Action

Having a call-to-action encourages employees to log into their portal within the allotted 72-hour window. Examples include:

  • Review and verify personal information
  • Adding a portal profile pic
  • Review and verify Emergency Contacts, etc.

Notify Your Employees

Notify your employees that they are expecting to receive a verification email from Arcoro for them to set up their password and sign in to the employee portal. This can help create excitement, drive employee adoption, and avoid spam inquiries. It can also help to provide links to our Arcoro Learning instructional videos for relevant topics.

Confirm Work Emails

Employees must have a valid email address in the ‘Work Email’ field to verify their account and set up a password. You can do a quick audit of your employees' demographic info to find those missing their work email to correct.

  1. Expand Data, expand Exports, and click Manage from the menu.

  2. Hover over 'Quick Excel Exports' and click Employee Export

  3. Your web browser will download the Excel file. Open the file and check the 'WorkEmail' column for any empty fields.

Create Accounts ONLY

Make sure everyone has a username generated in Core HR by executing the "Create" utility.

  1. Expand 'Setup' and click Setup Properties from the menu.

  2. Hover over 'Employee Portal Setup' and click Employee Management

  3. Click the Manage Accounts tab.

  4. Select the 'Create accounts for all employees that do not currently have an account (Including Administrators)' option and click Execute.

    Do not leave the screen until the progress bar has reached 100%

Test Roll Out (Optional)

Create Eligibility Rule

The eligibility rule will determine the employees who are eligible for a given feature, such as Benefits, Events, Workflows, etc.

  1. Expand Setup and click Setup Properties from the menu.

  2. Click Eligibility Rules from the top menu bar.

  3. Review your existing or create a new eligibility rule.

Create Test Group

Employee Groups can help you facilitate communication with a specific employee group determined by the eligibility rule.

  1. Expand Reports and click Employee Groups from the menu.

  2. Reviewing your existing or create a test group.

Verify Accounts

With the employee group created, you can send verification emails to any employee who has not verified their accounts for the given employee group.

  1. Expand 'Setup' and click Setup Properties from the menu.

  2. Hover over 'Employee Portal Setup' and click Employee Management

  3. Click the Manage Accounts tab.

  4. Select the 'Send verification emails to all employees who have not verified their account in group' option, select the new group, and click Execute.

    Do not leave the screen until the progress bar has reached 100%

Execute Verification Emails & Roll Out Your Employee Portal

  1. Expand 'Setup' and click Setup Properties from the menu.

  3. Click the Manage Accounts tab.

  4. Select the 'Send verification emails to all employees who have not verified their account' option and click Execute.

    Do not leave the screen until the progress bar has reached 100%

Please Note

The following employees will be excluded from this utility

  1. Any employee who does NOT have a username
  2. Any employee who does not have a 'work email'
  3. Any employee with an Employee Status of Terminated, Retired, or Leave of Absence
