Processing applicants can be accessed by both hiring managers and recruiters, depending on the manager’s permissions that have been granted. Keep in mind that every manager may need their own set of permissions depending on your company’s policy.
- Expand Settings and click Applicant Tracking from the menu.
Applicants can be accessed by entering your ATS portal and going to the Job Postings. The number of applicants will be shown under the “Applicants” column. Click on the number of applicants to view the list of applicants for the job posting.
Applicants List
The 'Applicants' tab provides a glimpse of each applicant for the selected job post.
The 'Applicants' tab will provide the following information:
- Applicant - Clicking the name of the applicant will provide additional details.
- Rating - The rating any recruiter has assigned.
- Application Date
- Process Step
- Current Status
- Decline Reason - The decline reason is only visible internally.
- Applicants Source - The job search engine where the job posting was found.
- Skill Match
- Resume
- Quick Score
Applicant Details
Clicking on the applicant’s name will display their actual job application. This screen displays the tabs the applicant input during the application process. Right under the applicant's name is the star rating system, as well as telephone contact information.
Beneath the Applicant's information is a series of options to review their information and status

Status - This drop-down menu consists of system preconfigured status.
- Pending - Has not been seen by a recruiter.
- In Process - Application has been viewed and is being processed through the Process Steps.
- Hired
- Closed - Declined.
- Process Step - This drop-down menu populates your process steps from the 'Additional Settings' of 'Applicant Tracking'. Each of these steps will need to be manually selected by the recruiter as the applicant moves along your applicant handling process.
- Source - Displays the Referral Source in which the applicant came from (Career Builder or Jobbing.com).
- Notes - Notes can be added by the personnel processing the applicant. The notes will be available to anyone that has access to the applicant.
- Surveys - Surveys can be configured to be used internally within each individual applicant. An example of this survey can be a set of pre-screening questions that will be asked by the recruiter.
- Application History - Shows the number of applications the applicant has applied for in your ATS portal.
- Account Management - Allows you to view the applicant’s user name. As well as creating a new password in case you are contacted by the applicant’s to reset their password.
- Email Log - Displays the email log the system has generated.
- References - If your system is using the reference email and survey option, the answers of each reference will be displayed in a PDF version of your survey.
- Activity History - Displays the activity that the applicant has been processed through.
- Prefilled Forms - If you have generated a Prefilled form within our system you will be able to use them internally for each applicant. They will be generated using this option.
Actions
These are the actions that will be used in direct contact with the applicant.
- Decline Applicant - Allows you decline an applicant. Giving you the option to select the decline reason, change the applicant’s status, and whether to contact said applicant using your preconfigured decline email template.
- Schedule Interview - Allows you to contact the applicant via email and schedule a time. The time scheduled will be made available to the selected interviewer’s Employee home page calendar.
- Request EEO Info - If the applicant did not answer the EEO question, this option allows you to send them a questionnaire via email. The answers will NOT be linked to the applicant’s information.
- Hire Applicant - Allows you to proceed with the Hiring process. This will require a pay rate, SSN and benefit eligibility date. Hire date can be used if no benefits are provided.
- Send to Hiring Managers - Sends an email notification to the job post’s designated hiring manager.
- Print Profile - Prints the applicant’s job application.
Tabs
While viewing an applicant's profile, you can review the tabs and steps they had completed when applying for the job. An administrator will apply any message to share with the applicants in this tab and can change the display name of the tabs from the 'Configure Applicant Profile' tab.
Introduction
The 'Introduction' tab is the initial tab that an applicant will view when applying for the job posting.
Personal Information
The 'Personal Info' tab contains three individual tabs of information that will be filled in by the applicant. Those tabs include:
- Profile
- Contact Info
- Login
The 'Login' tab is optional and can be removed from the application process. The Login tab allows applicants to create a login profile and gives them the ability to return at a later date and apply to other open positions that they may be interested in.
Additional Information/Questions
The 'Additional Information/Questions' tab allows you to enter any information/questions that you would like to share with applicant or to have them answer. If you require specific questions to be answered during the application process, this is the tab that you can provide the applicant with a description of the requirements.
Skills
The 'Skills' tab is where an applicant can specify which skills they have and their proficiency. The skills are set up from the 'Performance Management' page of Core HR.
Education
The 'Education' tab is the applicants provided education history.
Work History
The 'Work History' tab is the applicants provided work history.
References
The 'References' tab are the references that have been provided by the applicant. If you will require references and use our reference survey feature, please set up this tab to include a tab header message that requires the applicant to provide a valid email address for each of their references.
Resume
The 'Resume' tab will list the resume documents that the applicant has uploaded.
Submit
The 'Submit' tab is a required tab for your applicant to acknowledge any required text.
