Understanding the Employee Benefits Menu for Core HR

The 'Benefits' page for Employees allows you to review the employee's benefit elections and perform actions such as terminating, reinstating, and more.

Navigating to Benefits for an Employee
  • From the menu, expand Employee, expand Benefits, and click Benefits.

  • If already viewing an employee profile, you can hover over "Benefits" to show the available pages. Click Benefits.

Date Range and Buttons

The date range for the Benefit's menu allows you to filter the employee's benefits with an Effective Date between the specified dates.

There will be a series of buttons along the top of the menu that allow you to:

  • Terminate - Terminate an employee and their benefits.
  • Reinstate - Reinstate an employee's benefits such as after temporarily leaving. This will not instate a waiting period and can restore benefits back to immediate coverage.
  • Rehire - Employee returns to the company after previous termination.
  • Delete - Delete benefits that were erroneously entered/selected.
    • NEVER delete a benefit if it has already been sent to a benefit carrier on an EDI file, even if it was incorrect or never should have been there. You still need to process a termination and if it should have never been entered, the term date of that benefit should match the start date. This is accepted as it has never happened with a carrier
  • Check Eligibility - Check what benefits the employee is eligible for. Can also help you process and enroll the employee into any benefit they are eligible for (it will enroll them into the default coverage, usually as 'Waive').

The 'Benefits' page will list the following columns:

  • Benefit - The benefit elections of the employee.
  • Benefit Range - The date range of the benefit. Clicking the date range will allow you to make mid-year changes to a benefit.
  • Info - Hovering over the information-icon_White-01.png icon will allow you to view the benefit package, the type of benefit, and the eligibility rule of the benefit.
  • Plan - The benefit plan of the benefit.
  • Coverage - Indicates the type of coverage of the benefit.
  • Per Pay Emp Cost
  • Covered Dependents - The dependents covered under the benefit.

Benefit Statement Tab

The 'Benefit Statement' tab allows you to email the employee or download a PDF of a list of the employee's enrolled benefits, coverage, costs, and any enrolled dependents or beneficiaries.

Altering Benefit Elections

Clicking any of the dates listed in the "Benefit Range" column for a benefit allows you to make alternations to benefit elections.

  • Step 1 - Select Coverage Tab - An administrator is able to elect the coverage for the employee along with dependents. An administrator will then need to save the changes to move on to the next step. When finished, click Save & Continue.

  • Step 2 - Set Dates - Allows an administrator access to effective and expiration dates of the benefit, change reasons, and the ability to overwrite employee costs. When finished, click Save & Continue >>.

  • Step 3 - Confirm - This step confirms the changes that have been made. If everything is correct, click Confirm Change.
