Scheduling Your Custom Designed Report for Advanced Analytics

Utilize Schedule to automate recurring email distribution of a report or template. Non-Arcoro users can receive a report as an email attachment. Registered Arcoro users can receive an email with either an attachment or a link.

Create Schedule Instance

  1. Open the Design options for a report.
  2. Click Schedule.
  3. View current schedule instance list.

  4. Each schedule instance has the following fields available:
    • Instance Name – Enter any name
    • Type – Reporting Item or Alert
    • Schedule – Displays when and how often the report will be sent
    • Filter Value Selection – This field is populated if the report is defined with filter values
    • Delivery Type – At this writing, email is the only option available
    • Delivery Method – Report is sent as a link or an attachment. Only registered Arcoro users with a valid login will be able to access a report sent as a link
    • Recipient(s) – List of email addresses of recipients
    • Last Successful Run – Date and time the report was last sent using this schedule instance
    • Next Scheduled Run – Date and time the report will next be sent using this schedule instance
    • Action – Use these icons to edit, copy or delete a schedule instance.

    Tip – you may need to widen your browser or scroll to see additional fields\columns in the schedule instance list.

  5. Click Add Schedule, located above the schedule instance list on the far right.

  6. In the Add Schedule pop-up window, complete the fields Schedule tab:

    • Type in any Instance Name.
    • Select a Scheduling Type option from the dropdown.

      • Scheduled Reporting Item - delivered regardless of whether it has data or not, at scheduled time.
      • Scheduled Alert - delivered only if report has data at scheduled time.
    • Select Time Zone, Start Date and Start Time. The scheduled email is delivered on the start date and start time for the selected time zone (not the time zone of the recipient.) The Start Time field utilizes a 24-hour clock. Example – to enter 2 pm, enter:

    • Select Recurrence, which determines how often the scheduled email is delivered.

  7. Complete fields in the Delivery tab:

    • Delivery Type - At this writing, email is the only option available
    • Delivery Method – Report is sent as a link or an attachment. Only registered Arcoro users with a valid login will be able to access a report sent as a link
    • Recipient(s) – type in one or more email address(es), or select email addresses from the presented list
    • Email Subject – Type the desired verbiage to be included in the subject line of the email
    • Email body - Type the desired verbiage to be included in the body of the email. Hover and click on the light bulb icon to display a list of System Variables. These allow the body of the email to automatically include changing data based on the report, recipient, time sent, etc. In the email body, system variables are displayed in brackets.

  8. Click OK in the New Schedule pop-up window.
  9. Click Save, located in the upper right corner of the Schedule window, to save all schedule instances.

Edit Schedule Instance

  1. Click the edit icon, shaped a like pencil, located in the Action column, which is located at the far-right side of the schedule instance.

  2. Make desired changes in the Edit Schedule Options are available on the Schedule and Delivery tabs and are further described in the Create Schedule Instance section of this document. Click OK.

  3. Click Save, located in the upper right corner of the Schedule window, to save all edits made to all schedule instances.

Delete Schedule Instances

  • In the Action column, click the delete icon, which looks like an x. You may need to scroll to the right to see the option.

  • To delete multiple schedules at once:
    1. Click the checkboxes in front of each schedule instance.
    2. Click the now enabled Delete button at the top of the list, which looks like a trash can.
