Prerequisites: As a prerequisite to this section, it is advised to review the below sections for proper understanding/definition of User Defined Fields in the HRIS as well as data mapping relationships between the HRIS and Payroll.
- User Defined Lookup Fields 1-15
- User Defined 1-5 on the Required Fields tab
- User Defined Fields data mapping relationships on the Employee - Demographics page
Warning: The EZSync technology requires that User Defined fields are properly configured prior to loading Employee Demographic information into the HRIS. There is potential for data to be overridden if this step is not done prior to loading employee demographic information into the HRIS.
The below section describes 6 scenarios regarding user defined fields and the steps needed to properly configure the HRIS account. It should also be noted that steps related to updating eligibility rules may not be applicable to every situation.
Scenario 1: User Defined Lookup 1-5 are properly configured in HRIS but NOT configured in Payroll and account does NOT want to sync user defined fields to Payroll
- No additional configuration is required
Scenario 2: User Defined Lookup 1-5 are properly configured in HRIS but NOT configured in Payroll and account DOES want to sync user defined fields to Payroll
- Configure the user defined fields in Payroll
- In the HRIS, navigate to Data>>Exports>>Manage>>Quick Excel Exports>>Export Employees
- Use this file to import user defined field values into Payroll
Scenario 3: User Defined Lookup 1-5 are NOT properly configured in HRIS and account does NOT want to sync to Payroll
- Navigate to Data>>Exports>>Manage>>Quick Excel Exports>?Export Employees
- Relocate the setup of user defined lookup fields 1-5 in user defined lookup fields 6-15
- Create a custom import with SSN and user defined look up fields to import employee values into user defined look up fields 6-15
- Confirm accuracy
- Delete user defined lookup fields 1-5
- Adjust eligibility rules that references user defined lookup fields 1-5
Scenario 4: User defined lookup 1-5 are NOT properly configured in HRIS and account DOES want to sync to payroll
- Navigate to Data>>Exports>>Manage>>Quick Excel Exports>>Export Employees
- A decision needs to be made on what to do with these fields
- Reconfigure the values to have Yes/No values
- Relocate to user defined lookup fields 6-15 per steps in Scenario 3
- Import new employee values into Payroll
Scenario 5: User defined 1-5 are configured in HRIS but NOT configured in payroll and account does NOT want to sync to Payroll
- No further action is required
Scenario 6: User defined 1-5 are configured in HRIS but NOT configured in Payroll and account DOES want to sync to Payroll
- Navigate to Data>>Exports>>Manage>Quick Excel Exports>>Export Employees
- Configure user defined fields in Payroll
- No import into payroll is required
