The "Collection Details" page of ExakTime Connect is used to view time punches from ExakTime Mobile and JobClocks to see:
- Time punches before they are rounded, deleted, modified, etc.
- Which devices were used by employees to create their time punch.
- The user signed in on ExakTime Mobile when the time punch was created.
- When the time punches were sent.
The "Collection Details" is primarily used to investigate oddities or answer specific questions such as when a time punch was received, who it was created by, what was the original punch before rounding, etc.
- Go to Tools and click on Collection Details.
A. The top half of the collection details will show the devices that have sent in time punches to ExakTime Connect and when they last communicated information. Clicking on the devices from the list will filter the bottom half of collection details to punches sent from the selected device.
B. The bottom half of the collection details will show all the time punches received by ExakTime Connect based on the date range selected. You may see a series of tabs such as:
- Assigned - This is generally where you will review your employees' punches.
- Unassigned - Punches generated from events on a JobClock which should not be used for time cards, or punches created with an unassigned keytab or JobClock.
- Punches - Lists raw events.
Icon Meanings
With each punch in Collection Details, there will be an icon to indicate its status. If the punch does not have any of the icons listed below, it has not yet been processed. Time punches are processed automatically and will not require any action from you.
| Icon | Meaning |
|---|---|
| Time Record Imported - Time record has been imported and is present on your time cards. Policies may affect the time that appears. | |
| Time Record Deleted - Time record has been imported and then deleted/edited manually. | |
| Location Not Assigned - At the time of clock in/out, the JobClock was not assigned to the location. | |
| Keytab Not Assigned - At the time of clock in/out, the keytab was not assigned to the employee. | |
| Date Error - The time record has a date/time that is not expected (e.g. a JobClock will reset its time to 1-1-1970 after power loss.) | |
| Duplicate Record - A record was ignored as it is a duplicate of another time record in the system. Commonly due to an emergency recollect of a JobClock. | |
| Quarantined Record - A record that cannot be placed onto a time card as the time card is locked due to a closed pay period or time card approval. | |
| Special Event - A recorded event for a JobClock (e.g. date/time change, bluetooth activation, etc.) |
Assigned Tab
The "Assigned" tab is primarily used to review punches that have been received by ExakTime and have been processed.
The bottom half will have seven columns by default:
- Touch Date - When the time punch was created.
- Employee - The employee associated with the time punch.
- Cost Code - The cost code associated with the time punch.
- Location - The location associated with the time punch.
- Session Date - When the time punch was sent.
- Logged In - The user that was signed in/logged in who created the time punch.
- Device - The device that was used to create the time punch.
The "Assigned" tab allows you to review:
- An employee's original clocked in/out down to the seconds without any roundings. This can help when needing to review an employee's prior to any roundings or manual edits affecting it.
- The user that was logged in when a time punch was created. This can help determine if another employee clocked in on behalf of another employee using the Clock For function on ExakTime Mobile.
- When a punch was created (touch date) and sent (session date). This can help determine if an employee's time punch was sent after it was made, and how long after.
- See what device and employee clocked in/out from. This can help determine if a consistent device in use is the cause of an issue, such as time punches not being sent, irregular data, etc.
Unassigned Tab
The "Unassigned" tab is generally used for punches that cannot be used by ExakTime. These are commonly due to a punch being an "Event" or if the punch is for an unassigned JobClock or Keytab.
When reviewing the unassigned tab, the following icons will denote why the time punch is considered "Unassigned".
-
- Events are used to JobClock to log special events that should not be considered a typical "time punch" such as, but not limited to:
- Date/Time Change. This can be due to daylight savings time change, time adjustment, etc.
- Bluetooth activation. When holding a keytab to a JobClock to activate the Bluetooth, the punch created right before activating Bluetooth will be ignored by the system as it is not considered a "Time Punch".
-
- Unassigned JobClock or Keytab. If a JobClock or Keytab is used before it is assigned, it will populate the "Unassigned" tab until the JobClock and/or Keytab are assigned. If the JobClock/Keytab was being tested and the time punches are not needed, it can be disregarded. If the time punch should be used, however, you must make sure that the JobClock/Keytab is assigned and the effective date occurs before the time punch touch date for the time punch populate the "Assigned" tab.
