The Email Templates menu allows you to create and maintain email templates for communication with hiring managers, candidates, referral networks, and more. By using an email template, you can speed up the email process for a variety of situations.
Navigating to Email Templates
- Click Administration from the top menu bar.
- Click Email Templates from the list on the left-hand side.
There will be columns for:
- Name - The title of the email template.
- Subject - The subject of the email.

Type - The intent of the email template.
- Auto Responder - Can be attached to your postings and sent to candidates who apply, such as thanking them for applying.
- Candidate Email - Emails sent to candidates after they apply and are in the system, such as letting them know a position was filled, they did not meet the requirements, etc.
- Hiring Manager Email - Emails sent to other hiring managers, such as emailing them a candidate to review.
- Referral Network Email - Emails sent to contacts in your referral network letting them know a position is available.
- Offer Letter Email - Emails sent to a candidate with the offer letter attached.
- Rescind Offer Letter Email - Emails sent to a candidate when the offer letter is rescinded.
- Status - If you have enabled the option to view deactivated templates, you will see if an email template is inactive or active.
- Action - Actions to manage an email template.
