Setting Up Part-Time Salary for Employees in Payroll

Administrators will be able to quickly and easily ensure that salaried employees are paid the correct amount for those who are not expected to work the typical 40 hours per week in Payroll.

Setting Up Part-Time Salary

If you are also using Core HR, the following fields will not be accessible and must be handled in their equivalent Core HR fields. 

  1. Click People from the left-hand navigation.
  2. Select the user you would like to view.
  3. Update the employee type and workweek hours as appropriate. The "Workweek Hours" will be set to 40 by default and can be edited. 
    • The field cannot have a negative value or a value of 0. If you try to enter a "0" value, the user will be prompted to add a value if they try to save.
      • The "Workweek Hours" field accepts up to two decimal places.
    • The “Workweek Hours” field does not display for employees with an employee type of “Hourly”.

Things to Note

  • After the salaried employee is added to the payroll, the Workweek Hours field is used to calculate the amount of hours worked for that payroll cycle. This is done using the following rules. The labels in bold represent the pay schedule for the salaried employee.
    • Weekly - Workweek Hours
    • BiWeekly - Workweek Hours * 2
    • SemiMonthly - (Workweek Hours * 52) / 24
    • Monthly - Workweek Hours * 4
    • Quarterly - Workweek Hours * 13
    • Annually - Workweek Hours * 52
  • The "Workweek Hours" field is managed differently depending on the products you have, in addition to our payroll product.
    • If you have ExakTime with Payroll, then the new “Workweek Hours” field in Payroll can be edited by Payroll admins, controllers, and managers, as ExakTime does not sync compensation data to Payroll
    • If you have Core HR with ExakTime and Payroll, then the new “Workweek Hours” field in Payroll can be synced with the Core HR field of “Annual Hours Worked”.

  • If the employee does not have a compensation record in Core HR, the payroll field will default to 40 and will be locked in payroll, so a user has to change it in Core HR to edit going forward.
  • If the employee does have a compensation record in Core HR, the payroll field still defaults to 40, and we will ask that they rerun the Core HR sync to update the value in this field when they feel it is necessary.
