Payroll Utilities Overview for Core HR

The Utilities screen provides the ability to connect to the configured Payroll Provider and load data into Core HR from the Payroll Accounts configured on the Account Mapping Tab.

  1. Expand 'Settings' and click Payroll from the menu.

This screen includes the following Tabs:

Load Company Setup Data from Payroll

This utility should generally be used only to initialize data within Core HR as it will pull Company setup data from Payroll in order to load setup fields within Core HR. This utility will create new records if records do not exist within Core HR, but will not remove any records that exist within the Core HR but not within Payroll. Data loaded from this utility can be managed within the HRIS via the Field Value Setup screen available under the Setup menu.

The company setup data will be pulled from the Master Payroll Account configured on the Account Mapping screen.

Load Employee Data from Payroll

This utility should generally be used only to initialize data within Core HR as it will pull data from the configured Payroll Accounts and overwrite any information within Core HR. This utility will create new records if records do not exist within Core HR, but will not remove any records that exist within Core HR but not within Payroll.

Load Paystubs from Payroll

This utility provides the ability to load Paystubs into Core HR from Payroll for the selected Date Range. Pay Stubs loaded through this utility will be associated with an Employee Record and can be found via the Paystubs submenu available from the Employee Menu. Before this utility can be executed, Employee data must first exist in Core HR in order for the Pay Stubs to be loaded against an Employee record.

Load W2's from Payroll

This utility provides the ability to load W2's into Core HR from Payroll for the selected year. W2's loaded through this utility will be associated with an Employee Record and can be found via the Documents submenu available from the Employee Menu. Before this utility can be executed, Employee data must first exist in Core HR in order for the W2 to be loaded against an Employee record.

Delete from HRIS

This utility allows for the deletion of Payroll Taxes and Payroll Deductions that have been loaded into Core HR from Payroll. This utility will not work on records NOT loaded into Core HR through the payroll load utilities.

When running this utility, it is important to be mindful of the desired outcome and whether or not the sync is currently turned on under Payroll Settings. Running this utility while the sync is on will also delete records out of payroll.

Deductions

The "Deductions" tab offers utilities for:

  • End-Date Deductions exceeding Benefit Expiration Date
  • Expire and Copy Deductions that overlap Benefit Effective Date
