Preparing for a New Admin to Replace a Previous Admin in ExakTime

Having an Admin leave your company is never an easy situation as you transition to your new Admin. To help you navigate what needs to be done, we have provided a list of items to accomplish and double-check to minimize delays in using ExakTime.

Set Up The Next Administrator

Setting up the next Administrator to use ExakTime can be done in as little as 10 minutes. Everything that needs to be done is documented in the following article.

If you are also using other Arcoro modules such as Core HR, Application Tracking, Onboarding, etc., please refer to the following article instead. to ensure they are created in the proper module first. 

When adding the next Admin to ExakTime, we recommend not reusing an existing Admin.  Changing the employee entity from one to another can cause confusion as the latest name will be used for all historical records. For example, if you were to review records of which Admin performed edits to an employee time card, it would have the name of the current admin and not the name of the original admin. Or if an Admin had recorded any time for their time card, the time records would be associated with the latest Admin.

If you have reached your employee limit and need to add the new Admin, you can temporarily deactivate another employee and add the new Admin to ExakTime. When the new Admin can log in to ExakTime, they can deactivate the previous Admin and reactivate the previously deactivated employee. This is the easiest method for this situation as employees cannot deactivate themselves and only Admins can add other Admins.

Set Up SyncLinx and AccountLinx

If the new Administrator needs to use SyncLinx/AccountLinx and they are not using the previous Admin's computer, you will want to install SyncLinx/AccountLinx on the new Admin's computer. This can help minimize any downtime for payroll/accounting during the transition.

After installing SyncLinx and AccountLinx, you will want to set up the respective applications. Ideally, the previous Admin can assist with the setup or you can refer to SyncLinx and AccountLinx on the previous Admin's computer.
