Arcoro offers a variety of modules from the Applicant Tracking System, Onboarding, Core HR, Talent Management, and ExakTime Connect to help you hire new employees, onboard them, manage their information, teach them, track their time, and more. To help ease an administrator's navigation of our various modules, the administrator can use a single username/password to access any of our products.
We have provided the steps below when creating an Administrator to mitigate any unforeseen situations. This resource assumes that you have already completed the initial setup of all your Arcoro modules.
Special Consideration
When hiring a new employee through the ATS, there may be situations where you are unsure how they should be set up or what username they should be using when they start managing the ATS or Onboarding as an employee. It is expected that their initial username for the ATS and completing their new hire paperwork in Onboarding are temporary as they have not been officially integrated into your organization and will be using temporary or personal emails initially. The best practices listed below may not cover every situation, but should address a majority of common sitautions.
- Applicant applied and is hired for a job through the ATS while using their personal email. Their information is sent to Onboarding to complete their new hire paperwork where they will use a temporary or their personal email provided through the ATS.
- After completing their new hire paperwork in Onboarding, their initialy employee information is passed to Core HR and appear in the "Onboarded New Hire" menu. A Core HR manager/admin will assign the new employee a username or one will be automatically generated, depending on your Core HR setup.
- An admin in the ATS or Onboarding will manually create an employee entry with the same first name, last name, email, and username as they were set up in Core HR and assign the appropriate user role (Manager, Supervisor, Admin, etc.).
Setting up an Administrator in Core HR
The first module that the Administrator should be created is Core HR as Core HR is considered the source of truth for other modules. The information entered/generated for an employee should be noted, specifically the name, email, and username of the employee as it will be used when setting up the employee in other modules such as the Applicant Tracking System and Onboarding.

Core HR should export the employee from Core HR to Talent Management at a pre-determined interval. We recommend waiting for the user to be created through this process instead of adding them manually to mitigate any unforeseen issues with duplicate users due to incorrectly entered information.
As some of the employee's information was passed over from Core HR, we would only need to assign the employee's user role for the Talent Dashboard. The following article should provide assistance with this:

Core HR should export the employee from Core HR to ExakTime Connect at a pre-determined interval. We recommend waiting for the user to be created through this process instead of adding them manually to mitigate any unforeseen issues with duplicate users due to incorrectly entered information.
