Setting Up ExakTime Permissions for Schedules

If you are interested in Scheduler and do not already have it, you can consult your account manager for additional information.

The 'Scheduler' feature for ExakTime can require additional setup before it can be fully utilized by your supervisors and employees. Employees with the default Administrator ExakTime Connect security role will have all permissions to use Schedules. Other roles, such as supervisors, will need additional permissions to perform actions such as viewing and managing employee schedules. 

  • If you can see "Scheduler" in the "Tools" menu, you can refer to the steps in the 'New Version' tab.

  • If you do not see "Scheduler" in the "Tools" menu, you are still using our previous version of Scheduling and should refer to the steps in the 'Previous Version' tab.

Requirements for ExakTime Mobile

Scheduler (New Version) feature is available on both iOS and Android platforms for phones and tablets. Your employees must use ExakTime Mobile version 2.90 or higher to see the related options. If you or your employees are unsure what version of ExakTime Mobile is being used, please refer to this article on how to you and your employees can check their ExakTime Mobile version.

Granting Permissions to Scheduler

Permission to Scheduler in ExakTime Connect

Administrators will have access to Scheduler by default while other employees must be granted permission to access the page.

  • Go to Manage and click Security Roles.

  • Click the ExakTime Connect tab.

  • Click on the role that should have access to schedules or create a new role. Administrators will have permission by default.

  • Look for and enable the settings for Schedules as needed for the security role in the Permission tab towards the right.

  • Save your changes. Repeat as needed for other ExakTime Connect Security Roles.

Permission to Scheduler in ExakTime Mobile

Permissions must be granted to ExakTime Mobile security roles for your employees to view their schedules. You can allow certain ExakTime Mobile users the ability to view their schedules.

  • Go to Manage and click Security Roles.

  • Click the ExakTime Mobile role that should have access or add a new security role.

  • In the permissions to the right, enable 'Schedules (New Version)' permission.

  • Save your changes. Repeat as needed for other ExakTime Mobile security roles.
  • Your employees may need to sync their copies of ExakTime Mobile, log out, and back in to see these new changes.

Permission for "Clock In to My Schedules"

Your employees can clock in to their scheduled location and cost code directly to mitigate any possibility of incorrect locations or cost codes during the normal clock in process.

  • Go to Manage and click on Security Roles.

  • Select the ExakTime Mobile Security Role that should have this permission enabled. The Administrator will have this permission enabled by default.

  • Enable the"Clock In from Schedule (New Version)" permission.

  • If the employee is a supervisor and needs to clock in to a schedule on behalf of an employee, you must enable the "Clock in and out for other employees) permission as well.

  • Save your changes. Repeat as needed for other ExakTime Mobile security roles.
  • Your employees will need to sync their copies of ExakTime Mobile, log out, and back in to see these new changes.
