Best Practices for Using and Maintaining Performance Management

To help you use and maintain your Performance Management module, we have created a list of best practices to ensure the successful adoption and use of the module.

We also offer a list of items to periodically review/complete to keep your Performance Management module running smoothly.

Form Creation

  • 3 Best Question Types - When creating forms, these 3 question types work best over others:
    • Text Area - Use for any free-form text answers/comment sections. Always use over “Text Box”.
    • Radio Button - Use for scoring scale questions and choices
    • Radio Button Matrix - Used similarly to the radio button, but formatted differently.
  • 5-Point Scale is Ideal Max - If using a scoring scale for a form, a 5-point scale is generally the maximum you would want to use as any higher point scale as it can provide a broad scale.
  • Cannot Edit Questions/Sections for Assigned Evaluations - You are not able to add/delete questions and sections on an evaluation form after it has been assigned. The best practice is to make a copy, rename it, and then edit the copy.

Assigning Forms

  • Schedule Your Forms - The best practice is to send out your forms using the "Schedule Evaluation” section in the Performance Admin dropdown. These have to be set up at least one day prior.
    • If assigning the form all at the same time, use the “Custom Date” option
    • If assigning an annual form based on each person’s anniversary, use the “Anniversary Date” option
    • ”Hire Date” is used specifically for new hire evaluations. (Like a 60 or 90 day check in).
  • If using a two-step evaluation process where it goes to the employee first to fill out, and then their manager to finalize:
    • Select “Manager Perspective”
    • Enable “Self-Evaluation Completed First”
    • The best practice is to also check “Hide Manager Comments until Evaluation is Finalized”
    • This setup will be sent to the employee first for a self-review, and then their direct Performance Manager to fill out the same form and finalize it.
  • Raters Should Not Be Approvers - The Raters should not be the Approvers for an evaluation as this can potentially lead to complications in the evaluation process and hinder the progression of workflows. 

Managing Assignments

Use Evaluation Administration - It may be easiest to see and manage evaluation assignments from the “Evaluation Administration” tab for Admins. You can see each form that was assigned, every rater it was sent to, check on the status, and delete/reopen assignments.

Goals

Be Aware of Start and End Dates For Current Goals - If the “Current Goals” section is being used on the evaluation form, it is important to remember how the goals pull in. The assignment of the form must fall in between the start date and end date of the goal for it to pull in the “Current Goals Section”. This is important to remember when assigning goals because you will want to enter the start and end date depending on what forms you want that goal pulled into.
