Notes for Employees in Core HR

The "Notes" section can be used for real-time feedback between managers/supervisors and employees or for internal notes on an employee record.

Navigating to Employee Notes
  • From the menu, expand Employee, expand Employee and click Notes.

  • If already viewing an employee profile, you can hover over "Employee" to show the available pages. Click Notes.

  • Note - Text entered for the note.
  • Note Type - General or Performance Log note.
  • Date Created
  • Hide From Emp - If the note is a Performance Log note, will indicate if the note should be hidden from the employee with a checkbox. General notes are always hidden from an employee.  
  • Follow Up - Indicates if the note should be followed up by an administrator.
  • Requires Acknowledgment - Indicates if the note should be acknowledged by the employee.
  • Date Acknowledged
  • Date Modified
  • Modified By
  • Attachment - If a document has been attached to the note, clicking "View" will allow an administrator to download and view the document.

From the Actions drop-down menu, you can:

Adding a Note

  • To add a note to an employee, click the Actions drop-down menu, and click Create Record.

  • Enter the information for the note as needed:

    • Creation Date - Date the note will be recorded with.
    • Note Type - Drop-down menu for a General or Performance Log note.
      • General - Administrators only can access and review this note 
      • Performance Log - can be made visible or hidden from employee view
    • Category - Drop-down menu for the Category of the Note. 
      • For more information about setting up note categories, you can refer to the following article.
    • Note - Text to be entered for the note.
    • Name & Attachment - If applicable, add any needed documentation and corresponding name. 
    • This Note Requires Follow-Up - Indicates if an administrator should follow up on the contents of the note 
    • Require acknowledgment of this Note by the Employee
      • Only available if note type is set to Performance Log 
    • Hide this note from Employee view
      • Only available if note type is set to Performance Log 
      • General Notes are always hidden from the employee's view 
    • Send this Note in an email to the Employee (and Note Submitter) - If enabled, will send an email to both the admin who enters the note as well as the employee the note is recorded for.
      • Only available if note type is set to Performance Log
  • Click Save Note when finished.

Deleting a Note

  • Use the checkbox on the far right of the notes to delete.

  • Use the Actions drop-down menu and click Delete Selected Record(s).

  • Confirm the deletion of the record(s).

Acknowledging a Note

Only Performance Log notes can be acknowledged.

  • Use the checkbox on the far right of the notes to acknowledge.

  • Use the Actions drop-down menu and click Acknowledge Selected Record(s).

  • Confirm the acknowledgment of the record(s).
