Using Crews and Employee Viewsets to Help Organize Employee Lists for ExakTime Mobile

Crews (also known as Employee Groups) and Employee Viewsets can be used to help organize and/or curtain your employees from others, depending on your needs.

  • Employee Viewsets - Limits the employees that can be seen through the ExakTime Connect and Mobile applications.
  • Crews - Groups up employees to make it easier to address a group of employees for certain functions such as viewsets, ExakTime Mobile, etc.

When to Use Employee Viewsets

Employee Viewsets are intended for situations where an employee should only be able to see select employees or should not be able to see any other employee. This can be useful for supervisors where they would only need to view and interact with their direct reports. Standard employees can be set to only view themselves so they cannot view any other employees in ExakTime.

Employee Viewsets currently offer the following options:

  • Only Themselves - Only see themselves within ExakTime Connect/Mobile.
  • All Employees - See all employees within ExakTime Connect/Mobile.
  • Selected Employees - See only selected employees within ExakTime Connect/Mobile.
  • Selected Employee Groups - See employees that are part of an employee group.

When to Use Crews

Crews are used to group up employees to help with finding employees quicker or separating employees in ExakTime Mobile without limiting who an employee can interact with. For example, supervisors may be able to clock in a crew with the "Clock For" function and also interact with "floater" employees that are not normally part of their crew. If Employee Viewsets were used, then the "floater" employee may not be visible if they were not already in the supervisor's viewset. 

Crews made in ExakTime Mobile will only exist on the device they were created on and for the user that created them.

Using Both Viewsets and Crews

Crews Made in ExakTime Mobile

Employee Viewsets and Crews made in ExakTime Mobile can be used at the same time, depending on an employee's needs. Keep in mind that Crews in ExakTime Mobile will only exist on the device they were created on and for the user that created them. 

For example, a supervisor may have 20 employees to supervise but wants to be able to "group up" certain employees together. The supervisor's viewset can be set to 20 employees from ExakTime Connect and the supervisor create their own crews in ExakTime Mobile to make it easier to focus on certain "groups" of employees within his viewset. 

Crews Made in ExakTime Connect

Starting from ExakTime Mobile 2.64, crews made in ExakTime Connect may not be visible to employees depending on their viewset.

  • If an employee's viewset is set to "Themselves Only" or "Selected Employees", they will not be able to view any employee groups made on ExakTime Connect.
  • If an employee's viewset is set to "Selected Employee Groups", they will be able to see the employee groups that are part of their viewset.
