Screening Question Descriptions for the ATS

Job applications can be configured using statements, open-ended questions, Yes/No questions, multiple-choice questions, qualification questions, and scoring questions. The ATS collects and tracks all responses by applicant and job. The system can be set up to alert you when applicants meet the definition of the “Internet Applicant” rule. These screening question options can appear when creating a job requisition/posting, or when creating a job template.

For a Job Requisition or Job Posting
  • From the Applicant Tracking System module, click Jobs.

  • From the top right, click the Create Req or Post a Job button to show the available options:

  • Proceed to "Step 2 - Application Details" to see the option to add a question or information.

For a Job Template
  • From the Applicant Tracking System, click Administration.

  • From the left-hand side, click Job Templates.

  • Click Add Template or Edit for an existing template.

  • Scroll towards the bottom to see the option to add a question or information.

Use the drop-down menu to select the type of screening question/text.

Informational Text

A simple statement that the candidate should read. This can provide information for the job position, the questions that will be prompted, etc.

Example: This is a full-time position requiring overtime.

Open Ended Question

This question should be used if the candidates should be able to type a response.

To set up this question, enter the question the candidate should answer.

Example: Please briefly explain your customer service experience.

Yes or No - Qualification Question

Use this type of screening question when a specific skill is required

To set up this question, you will need to:

  • Enter your question that can be answered yes or no.
  • Specify the candidate stage and disposition the candidate will receive if they answer yes.
  • Specify the candidate stage and disposition the candidate will receive if they answer no.

Example: Do you have a current and valid driver’s license?

As this is required for the role, so if someone does not have a license, we do not want to interview them—they will fall in your “InActive” candidate pool and can be set up to be automatically declined if you choose, or you can manually send them a declination letter.

Yes or No - Scoring Question

Use this type of screening question when a skill is preferred, but not required. Candidates will be ranked 1-5 stars on how they answer the question.

To set up this question, you will need to:

  • Enter your question that can be answered by a yes or no.
  • Specify the number of points the candidate will receive if they answer yes or not.

Example: Do you have Windows and Mac troubleshooting experience?

  • Yes - 3 points
  • No - 0 points

Multiple-Choice Scoring Question

This option should be used if a certain response will make a candidate more enticing.

To set up this question, you will need to:

  • Enter your question.
  • Create a pre-defined response and specify how many points the candidate will receive if selected.
  • To add additional responses, click Click here to add a new response

Example: How many years’ experience do you have in an administrative position?

  1. 0-2 years (1 point)
  2. 3-5 years (3 points)
  3. 6-8 years (4 points)
  4. 9+ years (5 points)

Multiple Choice Qualifying Question

Use this type of screening question where certain answers are desired and/or undesired.

To set up this question, you will need to:

  • Enter your question.
  • Create a pre-defined response and specify the candidate stage and disposition the candidate will receive if selected.
  • To add additional responses, click Click here to add a new response

Example: Do you have experience with any/all of the following HR functions?

  1. Applicant Tracking Systems
  2. Talent Management
  3. Both
  4. Neither (no, disqualified)
