Arcoro Release Roundup for April 2026

Our releases for April span many of our offerings and are designed to enhance your experience by streamlining processes, introducing new options, or building upon an already great foundation. 

Platform

Arcoro API

Release Notes

Until now, Arcoro's API has centered on a single product, limiting what teams could connect, automate, or build on top of. The new Arcoro API is being built to span all Arcoro products, opening up data and workflows that weren't previously accessible through an AP. Customer administrators and technical users can manage access directly via a new API Management dashboard: generate and revoke API keys on demand, assign Full Access or Read Only permissions per key, and monitor real-time request logs filterable by date, endpoint, status code, and more. A sandbox environment is available for developers to test integrations safely before touching production data. The Arcoro API launches with 15+ endpoints covering employee demographics and company reference data, with more on the way, as coverage expands across all Arcoro products.  Access is controlled via a new API Management security group; an Arcoro admin will need to add users to that group to enable the feature.

Updating Existing Job Descriptions with AI

Release Notes

We’re continuing to build on our applicant tracking system AI capabilities with a release that allows recruiters and hiring managers to use AI to refine and improve existing job descriptions (not just generate new ones). A new "Edit with AI" button replaces the previous "Generate with AI" button on any job description that already has content, letting users type a natural-language prompt (e.g., "add a must-haves section" or "make the tone more conversational") and preview a revised version before anything is saved. From there, users can keep the result, discard it, or iterate with a different prompt without touching the original until they explicitly confirm. For jobs with both English and Spanish enabled, accepted edits update both versions automatically. 

Custom Forms for Onboarding

Onboarding admins can now upload, configure, and manage custom fillable PDF forms directly within the Onboarding administration experience without needing to make an Arcoro support request. When adding a custom form, admins configure the form name, display name, sort order, and role visibility (employee and/or manager), upload the PDF, and map signature fields to electronic signatures captured within the system. Individual fields can be marked as required and are enforced during onboarding completion. Forms can also be targeted by location, business unit, or job title, giving organizations control over which employees see which forms as part of their onboarding workflow. 

Clearer W4 State Label in Onboarding

Release Notes

The "Primary State (Living)" field in Onboarding has been renamed to "W-4 State," making it immediately clear to employees and HR admins which state is being selected for W-4 tax filing purposes. The confirmation message shown when an employee selects a state different from their work state has been updated as well for the same reason. The previous label was a frequent source of confusion that led to W-4 forms being completed for the wrong state, with a lot of rework that followed.

Document Categories & Tags

Release Notes

HR administrators can now assign categories and tags to documents stored in employee profiles in Core HR, making it significantly faster to find, filter, and report on specific files without scrolling through everything manually. Ten predefined system categories — including I-9, W-4, Paystubs, Compensation, and Certification — are available out of the box, and compliance documents added through onboarding are automatically categorized at upload with no manual selection required. Beyond the defaults, admins can create and manage custom tags via Setup, apply multiple tags to a single document, and use multi-select filtering to narrow results by category, tag, date, or keyword. Categories and tags can also be built into workflow steps, so documents are classified automatically as they come in. For teams managing large employee document libraries, bulk import and export of document metadata via CSV or Excel is supported as well. Available to all Core HR customers; no internal enablement required.

ExakTime

ExakTime Mobile Time Clock Update

Release Notes

ExakTime's mobile time clock has been refreshed with updated styling and a modernized backend, laying the groundwork for upcoming features, including the unified Arcoro mobile app. Beyond the foundation work, the update brings a few practical improvements to the clock-in experience: iOS navigation now matches Android for a consistent cross-platform feel, Sync and Stop Override are dedicated on-screen buttons, and minor layout changes make location, cost code, and equipment selection cleaner to read. Employees using Face Front can now retake and confirm their photo before submitting. And a new confirmation screen shows employees a summary of their Facefront photo and all punch selections — location, cost codes, equipment — giving them a chance to catch and correct anything before finalizing. This is enabled by default for all ExakTime customers.

Photo Attachments for ExakTime Forms & Expenses

Release Notes

Field employees can now attach photos and files directly to expense entries and form submissions; no more separate apps, lost receipts, or undocumented site conditions. On the expense side, employees capture or upload up to five images per entry from mobile or web; admins reviewing expenses see full-size previews and can download attachments without chasing anyone down. The Expense by Employee report now includes a "Show Attachments" option, exportable to PDF or Excel. For forms, a new Photo Capture question type lets form designers add image fields to any form — safety inspections, equipment checks, incident reports — and field workers snap or upload photos inline during submission. Photos carry through to the Forms Response Viewer, PDF exports, and the ExakTime Forms report. Both capabilities are on by default; expenses must be enabled under Company Settings if not already active.

Library Form Assignments

Administrators can now control which employees or employee groups have access to Library Forms in ExakTime (the same assignment functionality that was previously only available on Clock In and Clock Out forms). When adding or editing a Library Form, admins can assign access to all employees, specific individuals, or active employee groups, bringing consistency across all ExakTime Form types. No additional configuration needed; requires ExakTime Mobile 2.107 or later.

Payroll

Usability Updates

Release Notes

This set of releases delivers a broad set of improvements across Arcoro Payroll designed to reduce errors, cut manual work, and give payroll admins clearer visibility at every stage of the pay cycle.

On the validation side, payroll now catches conflicting compensation rates before a draft is saved. A new error indicator in Wage Determination flags the issue immediately, so it can be resolved before it affects a run. Onboarding blockers are more visible too: employee and contractor onboarding statuses now appear directly in payroll processing, and when issues prevent finalization, error messages include the employee's name and ID so admins know exactly what to fix and where.

Import capabilities have expanded significantly. Teams can now import employee reimbursements, hourly earnings, non-hourly earnings, benefit overrides, and deduction overrides via CSV, all with validation built in to prevent duplicates and catch errors before they hit payroll. The import page itself has been streamlined into a single interface with a dropdown to select import type, replacing what was previously a more fragmented experience.

Reporting has gotten a meaningful upgrade. New reports surface employees with invalid SSNs and contractors with validation issues (both common sources of last-minute payroll blockers). A new Cash Requirement Report provides a detailed breakdown of what will be debited per pay run, including net pay, taxes, and garnishments. The Payroll Review Summary can now be exported as a PDF that mirrors the on-screen layout, making it easier to share with finance stakeholders. Contractor Payments reports also now support PDF export alongside CSV.

Rounding out the release are a number of UX improvements that reduce friction in day-to-day navigation: a global people search bar accessible from any screen, a new Contractor Onboarding Issues dashboard widget, configurable dashboard widget settings, alphabetically sorted pay schedules, expanded off-cycle paystub history, and clearer GL mapping options for company-paid benefits.

Auto Course Completion Certificates

Release Notes

Training admins can now upload a PDF completion certificate to any course in the LMS.  When an employee completes that course, the certificate is automatically added to their training record without any manual work required. Certificates are visible across the platform: employees see them in My Training History, managers see them on a direct report's profile, and admins can access them from the employee's Training tab in Account Admin. The feature applies to completions going forward and is available to all LMS customers with the April release.

Integrations

Sync Scheduling for Integrations

Release Notes

Integration admins can now set data syncs between Arcoro and connected ERP systems to run automatically on a defined schedule; no more manual triggers or having to remember the cadence. Schedules can run one-time or on an hourly, daily, or weekly interval, with full control over days, start time, time zone, and an optional end date that auto-deactivates the sync when it's no longer needed. Employee ID filters can be applied per schedule and persist across every run, and email notifications keep designated recipients informed of each sync result with a direct link to the details. Schedules can be paused and reactivated without losing their configuration, and manual syncs remain available anytime you need data pushed immediately. A new Schedules History view tracks every scheduler-triggered run separately from the existing Sync History.
